Membership Administration Manager / Beverly Hills

With this new location, Spring is evolving and growing, bridging the gap between the coasts, and forming an even larger footprint in the creative space.
A Beverly Hills based position responsible for the administration, processing, updating and maintaining of all club memberships, membership materials, payments, files, and data. Monitoring and handling membership renewals, generating reports on the membership community and dealing with all new and departing memberships.
•Respond to Member inquiries submitted via the Membership email in a timely manner.
•Work with the Membership Manager to monitor incoming applications from the Spring Place website.
•Compile Profiles for all new applicants.
•Prepare applicant files for consideration in Committee meetings, attend meetings to review new applicants and assemble lists of approved joiners and those placed on the waitlist.
•Upon approval, complete all documentation and action the charging of members via Motion Soft and Finance.
•Ensure prospective members are informed their application has been a success before processing payment and sending welcome email.
•Update all relevant documents pertaining to Membership, including but not limited to: Motion Soft, Excel Spreadsheets, Keynote Presentations, etc.
•Assist with complimentary memberships as directed by the Membership Manager.
•Send daily reports about new members, applications, and other pertinent information.
•Coordinate the creation of new Member packs, cards, and onboarding when members are accepted.
•Work with the Membership Manager and Marketing and Event Programming Manager to coordinate communication with our Members regarding events and updates from Spring Place, including but not limited to: New Member Receptions, New Member Dinners & Breakfasts, Birthdays, Event RSVPs, and any updates to the Spring Place rules and/or policies.
•Take responsibility for updating Members’ contact information including photos, addresses, and emails. Through regular contact with members, update profiles with pertinent information and details that will enhance their experience while at Spring Place.
•Assist Members with logging in to the member portal and help with any technical issues.
•Check Motion Soft each month during the billing cycle and follow up with outstanding member payments to ensure all accounts are in good standing. Involve the Membership Manager when necessary.
•Take responsibility for automatic yearly membership renewals and chasing any outstanding fees with members by email or phone.
•For long overdue payments, mail membership cancellation letters and terminate in the system.
•Record reasons for members that don’t renew or elect to resign their memberships for retention report.
•Process membership refunds as and when necessary.
•Take responsibility for completing the Member Exit Checklist and filing.
•Maintain and store the membership stationary inventory.
•Provide membership reports for the finance team and senior management as and when required.
•Coordinate with all departments to create a seamless Member experience.
•Provide general assistance to the Membership Manager as required.
An L.A. native with excellent spoken (and written) English, and experience with Excel, database systems, and online payment processing, as well as formidable attention to detail. Someone with proven experience in administrative roles, managing customer data, keeping records, maintaining a database and handling customers. A confident and charming team player, able to work on their own initiative with strong administrative and organizational skills.
