Personal Assistant to General Manager / Milan

Spring Studio (Milan office) is looking for a Personal Assistant for its General Manager.
You will provide administrative and organizational support and act as a key liaison between internal functions (GM and Executives) within the company and external partners. The ideal candidate is proactive, highly organized, and thrives in a fast-paced environment.

JOB RESPONSIBILITIES:
• Manage the General Manager’s agenda
• Organize meetings and manage the logistics including organizing schedules, booking meeting rooms, sending out calendar invites, preparing written materials, writing meeting notes
• Answer telephone calls, pick up voicemails, pass on messages and manage emails
• Arrange international and national travels including but not limited to, hotel and flight reservations, pick-ups, meeting itineraries
• Assist the production team in booking travels, creation of purchase orders, and project reconciliation
• Create PowerPoint / Keynote presentations
• Prepare expense reports
• Create recap files and reports
• General secretarial activities where required

SKILLS & CAPABILITIES:
Required
• Italian – mother tongue, English and French– fluent
• Previous experience in a similar role
• First class communication and organization skills
• Excellent knowledge of Microsoft Excel, PowerPoint, Word and Keynote
• Highly organized multitasker who works well under pressure
• Commitment to accuracy and attention to detail
• Ability to work independently with minimal supervision
